How do I post my available shifts?

Using our new Add shifts form

We've created a new Add shifts form to give you greater flexibility to create a locations whole roster in one place.

 

1. Head to your account
• If you're able to access multiple locations, select the location you'd like to add shifts for in the left hand side menu

2. Click "Add shifts" and start filling out the information for your first shift

• The duration is shown below the Finish date/time and will update as you amend the shift times

Adding Open shifts

1. You can choose to add the shift as an Open shift (it'll be sent out to your staff in the Sona app) and you can select the number of shifts you require for that start time and shift type at your location:



2. Click "save" to save your progress

3. You'll see the shifts have been added and are available for publishing

You have several options here:

• Publish the shifts

• Add a new shift (this can be more Open shifts or an assigned shift)
• Copy the shifts
• Edit the shifts                                                                                                                                   • Delete the shifts

If you have a repeated shift pattern, for example, I need 4 Administrators every Thursday, Friday and Saturday, you can copy the shifts you've already created and change the dates before hitting save:

• You'll see both sets of shifts are now available to publish

• You can also use the copy shifts button to repeat a shift pattern but for a different shift type, just change the shift type before hitting save

• Once you're happy with your shifts, click "Publish shifts" and you'll be able to view the shifts in your weekly shifts view

Staff will only be notified of new shifts once they are published

Adding shifts for your employees

1. You can choose to assign the shift you are creating, directly to a member of staff by selecting their name in the dropdown menu

2. Click "save" to save your progress

You have several options here:

• Publish the shift

• Add a new shift (this can be another assigned shift or open shifts)
• Copy the shift
• Edit the shift                                                                                                                                   • Delete the shift

You can use the copy button to quickly build a roster and:
• Copy the shift details and change the name, shift type or dates

• You'll see both shifts are now available to publish

• Once you're happy with your shifts, click "Publish shifts" and you'll be able to view the shifts in your weekly shifts view

Staff will not be notified or receive any update in their app of any shifts assigned to them until you publish the shifts

Errors when adding shifts

If you copy shifts that have an employee assigned to them and try to publish without changing the date/time you'll be shown an error message:

To amend the shifts, click the edit or delete button to rectify this and post your published shifts

You will also receive an error message if the employee you are assigning a shift to already has a clashing shift scheduled.
